When to bring in a deliverability agency
Bring in help when the numbers move and you can't see why: clicks fall across every send with no change in content, Gmail's spam rate in Postmaster Tools climbs towards 0.30%, a flow starts bouncing far above normal, or Klaviyo shows more than 0.05% spam complaints on a send. These are signs that inbox providers have started filtering you, and every week it continues makes the repair longer.
For the full do-it-yourself checklist, read our guide on why Klaviyo emails go to spam and how to fix it. This page is about what we do when we run the fix for you.
How we fix Klaviyo emails going to spam
- Authentication. We check the branded sending domain, SPF, DKIM and an aligned DMARC record, and the one-click unsubscribe that Gmail, Yahoo and Microsoft ask bulk senders for. DNS fixes take effect within days.
- Find the source. We look for the send, segment or flow that started it: a bounce spike, a bot surge on a form, a campaign sent to the whole list.
- Narrow who gets each send. Campaigns go to engagement-based segments, customers and prospects at 3 levels, built on clicks rather than opens because Apple Mail Privacy Protection opens many emails automatically.
- Clean the list. A plain-text sunset email asks lapsed profiles if they still want to hear from you. Those who don't respond are suppressed by hand, which can be reversed, and they stop counting towards your Klaviyo bill.
- Warm back up. We start with the most engaged people, watch spam rate and bounces daily, and widen only after a clean week.
- Watch it every day. Once the account is clean, our daily checks keep it that way.
Daily bot sign-up checks
Bot sign-ups and fake checkouts create profiles that hard bounce or never engage. A burst of them can take a healthy account into spam within days, and most brands only notice at the monthly report.
Our own AI agents check 30+ client Klaviyo accounts every day for bot sign-ups, broken flows and revenue drops, and the team hears about a problem the same day. In September 2026 those checks found bot checkouts on 5 of the accounts we run, all with the same pattern: a single cheap item in the cart, a fake address, almost every email hard bouncing.
What we do when we find them:
- A bot segment. Profiles with a single-item checkout on the bot's favourite product, 0 orders, 0 clicks and 0 real opens, kept out of every sending segment and suppressed.
- Flow filters so the welcome or checkout email never fires for those profiles.
- Store-side protection. Bot protection or a minimum order value in Shopify is the real fix. Klaviyo filters only limit the damage.
Flow repair
Deliverability problems often hide in flows, not campaigns. Flows send every day without anyone looking at them, so a broken one can do damage for weeks.
- Link scanners. Corporate email security tools click every link. On 1 account we found a browse abandonment flow sending to the same small group of company addresses again and again, because each scanner click counted as a product view. A re-entry limit on every abandonment flow and excluding bot clicks from click conditions stops it.
- Broken flows. Our daily checks flag a flow that stopped sending, lost its trigger or is missing a message.
- Bounce-heavy flows. Checkout and welcome flows with bounce rates far above normal are usually the first sign of bots, so they are the first flows we filter.
The numbers we watch
| Metric (per send) | Healthy | Act now |
|---|---|---|
| Spam complaints (Klaviyo) | Under 0.02% | Over 0.05% |
| Gmail spam rate (Postmaster Tools) | Under 0.10% | 0.30% or higher (Google's limit) |
| Bounce rate | Under 0.30% | Over 1.0% |
| Click rate | 2% or more | Under 1% |

What to ask a deliverability agency
- What do you check first? Authentication, then the source of the problem, then who each send goes to.
- How do you find bot sign-ups? Ask what pattern they look for and how often they check.
- Do you check flows as well as campaigns? Flows send every day and are often where the damage starts.
- How do you build sending segments? Clicks, not opens, because of Apple Mail Privacy Protection.
- How do you stop it happening again? A one-off fix without daily monitoring tends to slip back.
- How long until we see a change? Authentication fixes take days. Rebuilding reputation usually takes a few weeks of sending only to engaged segments.
